Who holds this information
This platform is run by Generation Education (Pty) Ltd, registration 2014/263894/07, trading as Generation Swimming Academy at the Sunningdale campus.
The school's Information Officer is Jevron Kendor Epstein. Anything in this notice can be taken up with him directly, or with the academy office if that is easier.
What we collect, and why
We collect only what running swimming lessons needs. Nothing here is sold, and nothing is used for advertising.
About you: your name, email address, mobile number and, if you give it, your home address. We use these to reach you about lessons, invoices and your child's progress.
About your swimmer: their name, date of birth, whether they attend Generation Sunningdale, their class, their programme, and the level and skills their coach has scored. The date of birth places a child in the right group and nothing else.
Money: what you were invoiced, what you paid, when, and by which method. Receipts are kept as records of the transaction.
Photographs and video: only if you have given the separate permission for it, and only of the child that permission covers.
Signing in: the time you last signed in, and if you turn on reminders, an anonymous token from your browser that lets us send a notification to that device. That token identifies the device, not you, and carries no message content.
Children's information
The law treats a child's personal information as needing extra protection, and a parent or guardian's consent is what allows us to process it at all.
That consent is given when you register, against the terms you signed, and a copy of what you agreed to is filed in your document vault. It is yours to read at any time.
Photographs and video are a separate decision, and a separate permission. It is optional, it is not required to attend lessons, and you can withdraw it at any time from the Photos screen. Withdrawing it removes what has already been taken.
Who else sees it
Academy staff: coaches see the swimmers they teach and the contact details they need to reach a parent at poolside. The office sees registrations, invoices and payments. Nobody sees a family's documents who does not need to.
When a member of staff opens your swimmer's record, their photographs, or a document from your vault, we record who it was and when. You can read that list yourself on the My information screen, without asking anybody.
Our email provider, Brevo, sends the messages the platform generates. They process the address and the message on our behalf.
Google, if you turn on phone reminders. A push notification travels through Google's service to reach your handset.
Our hosting provider, which runs the server the platform sits on.
That is the whole list. We do not give your information to anybody else unless the law requires it.
Where it is kept
The platform and its database sit on a server in Europe, with backups held separately.
Because our email and notification providers operate internationally, a message addressed to you may be processed outside South Africa. The school's Information Manual covers these transfers.
Everything travels over an encrypted connection. Passwords are stored so that nobody, including us, can read them.
How long we keep it
While a swimmer is with the academy, and for a period afterwards, because a family often returns and a certificate earned should not disappear.
Financial records - invoices, payments and receipts - are kept for at least five years, which is what tax law requires of us. They keep the swimmer's name on them, because a receipt has to say who it was for.
Photographs and video are deleted when the permission covering them is withdrawn.
If you want your family's information removed, ask, and we will remove what we are not required to keep. We will tell you what is left and why.
A family's record is kept for 5 years after their last lesson, payment or sign-in, and is then reviewed and removed. Financial records are kept for 5 years whatever else is removed, because tax law requires it.
What you can ask for
To see it. Everything the platform holds about your family is on the My information screen, and you can download it. That includes which members of staff have opened your swimmer's record.
To correct it. Your own details are editable on your profile. Anything else, ask and it will be put right.
To have it deleted, or to object to how it is used. There is a form on the My information screen: choose deletion, a correction or an objection, and we answer within 30 days. It reaches the academy office and the Information Officer at the same time, and the screen shows you where your request got to and what was decided. You can write to the Information Officer directly instead if you would rather.
Deletion removes everything we are not required by law to keep. Financial records stay for five years, and we tell you in writing exactly what was removed and what was left.
To complain. If you are not satisfied with how we have handled it, you can complain to the Information Regulator directly. Their details are at the foot of this notice.
None of this costs anything, and asking will never affect your child's place in a class.
Cookies and tracking
This platform sets one cookie to keep you signed in, and remembers two display preferences on your device.
There is no advertising, no analytics, and no third-party tracking of any kind. Nobody is following you around the internet on our behalf.
